Privacy note - website users

When you browse the website:

  • We will collect your IP address and usage data such as the pages you have visited for analytical purposes. Our legal basis is our legitimate interest and we retain the data for 14 months. 

When you ask to receive our newsletter and receive news about us

  • We will collect your contact details for the purposes of sending you news by your preferred methods. Our legal basis is your consent and we will process the data until such time as you ask us to stop. 

When you purchase a product from us

  • We will process your contact details, the items bought and their cost. Our legal basis is the contract (Terms and Conditions) you have with us. Your  order details are transferred to our fulfilment house and your payment details to the payment processor. 

When you register to support a campaign

  • With your consent we process your contact details and keep you informed about the campaign.  

When you register to sign up to arrange an event

  • We will process your contact details to keep in touch with you. Our legal basis is our legitimate interest.  

Privacy notice - donors to the Mental Health Foundation

All donations

We take into account various criteria when determining the appropriate retention period for personal data including:

  • the purposes for which we process your personal data and how long we need to keep the data to achieve these purposes;
  • how long personal data is likely to remain accurate and up-to-date;
  • for how long the personal data might be relevant to possible future legal claims;
  • any applicable legal, accounting, reporting or regulatory requirements which specify how long certain records must be kept. 

Donations made by Giving platforms e.g.; Just Giving, Much Loved and donations made via social media e.g. Facebook, Instagram

The platform provides us with your contact details, donation amount and webpage URL. 

Donations made by Direct Debit, SMS message, Street Fundraising, Giving Platforms

We process your contact details and donation amount. 

Donations in response to telephone and postal campaigns

We record your donation alongside your contact details.

Donations made by Direct debit,  website, street fundraising and  in response to postal campaigns    

We transfer your bank details to our payment processor.

Donations made by SMS message

Your data is processed by our SMS Service Provider.

Donations in response to a Telephone Campaign

With your consent we share your telephone number with our fundraising partner.

Donations made via social media e.g. Facebook, Instagram

We transfer your contact and donation details to a third party who acknowledges your gift.

Developing relationships with supporters

As a fundraising organisation it is important we develop good relationship with supporters and donors.  

We want to ensure that our communication with supporters is efficient, effective and focused.  To ensure the requests we make are appropriate, proportionate and tailored, we may use publicly available information (collected either in-house or by third parties) to identify whether or not you are likely to wish to provide additional donations to the Mental Health Foundation. We do not allow third parties to use the data we provide them about you for other purposes.  

The information that we may process includes publicly available information relating to your wealth (including house price values), whether you are a trustee of a charity or have previously donated to similar charities, or raised funds for charitable purposes. We understand that not all of our supporters or donors will want us to carry out such processing and you are free at any time to ask us to stop doing this in respect of your data. You can do this by contacting us at [email protected] .  

You have the qualified right to request:

  • Access to and porting of your data;
  • Rectification or erasure of your data;
  • Restriction of processing or to object to the processing.

You also have the right to lodge a complaint with a Supervisory Authority, for example the Information Commissioner’s Office - Make a complaint.

Statement on profiling and wealth screening

As we are a fundraising organisation, we carry out limited profiling and research to help us better understand and communicate with our donors and potential donors.  

For this reason, we may gather information about you from publicly available sources, for example, Companies House, the Electoral Register and the media, to help us to understand more about you as an individual and your ability to support the Charity.  

We may carry out wealth screening, a process which uses trusted third-party partners to automate some of this work. We may use information gathered from public sources alongside the information you provide us to undertake analysis of who might support the Charity and to understand the preferences of our supporters about events, communication and services.  

By doing this, we can focus conversations we have with you about fundraising, campaigning and volunteering in the most effective way, and ensure that we provide you with an experience as a donor or potential donor which is appropriate for you.  

Carrying out research and processing in this way allows us to conduct high value fundraising, which is essential for our legitimate interests – in this case, our ability to carry out our mission. However we will always endeavour to do so with great care and in a way that does not unduly impact your rights and freedoms.  

We may also use publicly available sources to carry out due diligence on donors to meet money laundering regulations.  

You can opt out of your data being used for profiling and wealth screening techniques by contacting us at any time.  

Staff access to all such information will be limited on a need-to-know basis, and staff will be made aware that it is only to be used for purposes stated here in conjunction with our Privacy Policy. This statement does not affect the other policies and legal duties laid out in our Privacy Policy.
